Enhanced Media Module

We created the Enhanced Media Module in response to feedback from customers requesting the ability to view a history of all E-Mail correspondence and documents exchanged with residents, owners, prospects, and vendors within PropertyBoss. Enhanced Media enables a user to view the E-Mail history without opening Outlook. The end result of centralizing the correspondence details in PropertyBoss is a reduction in the time that it takes to track down the details on an E-Mail string and a corresponding increase in productivity.

The functional operation of Enhanced Media is very straightforward. PropertyBoss scans selected folders in Outlook looking for E-Mails related to resident, owner, prospect, and vendor E-Mail addresses that exist in the PropertyBoss database. When a matching address if found, PropertyBoss exports the E-Mail content and attachments and associates the items E-Mail as Media in the PropertyBoss database. The E-Mail is marked in Outlook with the Filed in PropertyBoss category. When an E-Mail is sent, you are given the option of filing the E-Mail and attachments as Media.

The centralization of E-Mail history in PropertyBoss is not the only benefit of Enhanced Media. PropertyBoss also supports saving a copy of mail-merged letters as Media for each recipient. The feature works with both the internal word processor in PropertyBoss and with Microsoft Word. In the case of Microsoft Word, the mail merge process works as it does today. After you make modifications to the merged document and exit Word, PropertyBoss will ask you if you want to save copies of the document as Media. If you answer ‘yes,’ then PropertyBoss will analyze the merged document and create individual PDF files for each document which will be associated with the corresponding resident, owner, or prospect account.

The Enhanced Media module is activated by a unique registration number, and the setup of the Module is relatively simple. “It usually takes about fifteen minutes for us to activate the Enhanced Media Module and walk a customer through setup,” says Theresa Fusco, Senior Client Care Associate with PropertyBoss Solutions.
